  • number of participants ;
  • type of guide service or travel assistance requested ;
  • any other relevant information.

The Client agrees to provide accurate, complete, and up-to-date information.

4. Personalized Quotation

Following review of the request, the Operator will provide the Client with a personalized quotation by email or any other agreed communication method.

The quotation may include :

  • description of the service ;

  • any special conditions ;
  • payment terms ;
  • modification and cancellation conditions.

Unless otherwise stated, quotations remain valid for seven (7) days from the date of issue.

5. Acceptance of the Quotation

A booking is confirmed only when :

  1. the Client has accepted the quotation; and
  2. full payment has been received within the specified deadline.

The agreement becomes binding only once both conditions have been fulfilled.

If payment is not received within the specified period, availability cannot be guaranteed.

6. Payment Terms

Services must be paid in advance according to the payment terms specified in the quotation.

Accepted payment methods include :

  • PayPal
  • Wise

Unless otherwise specified, all prices are quoted in Japanese Yen (JPY).
Where appropriate, quotations may also be issued in Euros (EUR).

Currency conversion fees, bank charges, international transfer fees, PayPal fees, Wise fees, and any similar charges remain the responsibility of the Client unless otherwise agreed in writing.

7. Nature of the Services

The Operator is responsible for organizing, coordinating, and preparing the requested services.

This may include :

  • reviewing the Client's request ;
  • recommending appropriate services ;
  • selecting a suitable guide or service provider ;
  • organizing pre-service communication ;
  • coordinating practical arrangements.

The on-site service itself is provided by the selected independent guide or service provider.

Unless expressly stated otherwise, the quotation covers only the services specifically listed therein.

8. Status of Guides and Service Providers

Guides and other professionals involved in the services operate as independent contractors or external collaborators under their own professional responsibility.

The Operator carefully selects professionals suited to each project but cannot assume responsibility for the independent execution of their services.

9. Expenses Not Included

Unless expressly stated in the quotation, the following are not included :

  • transportation ;
  • accomodation ;
  • admission fees ;
  • reservation fees ;
  • optional activities ;
  • personal expenses ;
  • bank charges and currency exchange fees ;
  • any additional expenses requested by the Client.

10. Changes to the Services

Any request to modify the service (including dates, schedule, location, number of participants, or service content) must be submitted as early as possible.

Such modifications may result in :

  • a price adjustment ;
  • revised services conditions ;
  • the issuance of a new quotation ;
  • or the impossibility of accommodating the requested changes depending on guide availability.

No modification is guaranteed until expressly confirmed by the Operator.

11. Cancellation by the Client

If the Client cancels after the agreement has been concluded, the following cancellation fees apply :

  • Up to 21 days before the service : No charge
  • 20–14 days before : 30%
  • 13–7 days before : 50%
  • 6 days to the day before : 80%
  • Same day or no-show without prior notice : 100%

When refunds are applicable, bank charges, currency conversion fees, transfer fees, and similar costs may remain the responsibility of the Client.

Any specific cancellation conditions stated in the quotation shall prevail over these Terms and Conditions.

12. Client Delays

If the Client arrives late, the service will be maintained whenever reasonably possible, subject to time and operational constraints.

Time lost due to the Client's delay does not entitle the Client to a refund or automatic extension of the service.

Failure to attend without prior notice may be treated as a same-day cancellation.

13. Exceptional Cancellation

If the assigned guide or service provider is unable to perform the service due to unforeseen circumstances, the Operator will make reasonable efforts to provide a suitable replacement.

If no alternative solution can be found, a full or partial refund may be offered depending on the portion of the service that could not be provided.

14. Force Majeure

The Operator shall not be held liable for any total or partial failure to perform services resulting from events beyond reasonable control, including but not limited to :

  • natural disasters ;
  • typhoons ;
  • earthquakes ;
  • fires ;
  • strikes ;
  • transportation disruptions ;
  • governmental decisions ;
  • civil unrest ;
  • epidemics or exceptional public health situations ;
  • communication failures ;
  • or any other unforeseeable event beyond the Operator's reasonable control.

Whenever possible, both parties will seek an appropriate solution, including postponement, adaptation, or replacement of the service.

15. Liability

The Operator undertakes to use all reasonable efforts to organize quality services suited to the Client's requirements.

However, the Operator shall not be liable for damages resulting from :

  • decisions made by independent guides or service providers ;
  • acts or omissions of third parties ;
  • transportation delays or disruptions, closures or operational changes affecting venues or attractions ;
  • inaccurate or incomplete information provided by the Client ;
  • the Client's own actions or decisions ;
  • any event beyond the Operator's reasonable control.

Nothing in these Terms and Conditions
excludes liability where such exclusion is prohibited by applicable law.

16. Language

Communications with Clients are conducted primarily in French or English.

The language of the guide service shall be specified in the quotation or otherwise agreed between the parties.

17. Personal Data

Personal data collected during inquiries, bookings, and communications is used solely for :

  • processing requests ;

Any dispute concerning the interpretation, validity, performance, or termination of the contractual relationship shall fall within the exclusive jurisdiction of the competent Japanese court having jurisdiction over the Operator's principal place of business, unless otherwise required by mandatory applicable law.

21. Final Provisions

If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

The Operator's failure to enforce any provision at any time shall not constitute a waiver of the right to enforce that provision in the future.
